JCI Shakopee BOD Meeting

Call to Order:7:31pm
  1. Call to Order @ 7:31pm.
  2. Special Guests

  3. Approval of Previous Minutes – 1st by Duffy; 2nd by Arnold; Motion carries.
  4. Approval of the Consent Agenda – 1st by Duffy; 2nd by Arnold; Motion carries.

  1. General Business and Reports
  • Management:
    • Bylaws and policies revision request for layout of the board of directors
      • A request was sent for revision on how we layout the board of directors.  M. Duffy and C. Kostelecky have a plan, but want to see what we want.
      • Current positions are under new positions/people.
      • Can’t hold 2 consecutive years at the same position.
      • Incentives can’t vote?  All of the permanent positions should be able to vote.
      • Our elections take a long time, so we can pare it down to where National is & they want to change the numbers so it is easier to reach quorum.
      • 14 elected positions down to 10, but adds in 2 (12 total).
      • Rename the Community Development/Outreach Coordinator to the Outreach Director
      • Somebody under the Membership VP should be focused on membership renewals.
      • Need to list in the policy what the jobs are for each position.
      • Junior JC Coordinator needs to be added.
      • Strike the Membership Director and add those duties to the Business Development VP.
      • FINAL: Motion made to make a positive recommendation on what we talked about for the ideal board — 2nd by A. Weidenhamer; Motion carries.
    • Fest update
      • We have a full committee.
    • Insurance secured through JCI MN
      • It is secured now. 
    • Big Tasty update to the board (if any)
      • It is still August 14th.  1 person is currently signed up for it.
    • Office Cleanup and Inventory with PR
      • A date needs to be set.  {Matty did a little dance}
  • Membership:
    • Membership Survey Results
      • Overall most people are very excited about having a very efficient way of communication… Zoom is the favorite platform.
      • Most people also said (41 people took the survey) they would like a text reminder about the meetings & due-dates.
      • People want to be developed in: computers, business, mentorship, leadership, communication increases, encouraging members to participate, time management, alumni, diversity, public speaking, job seeking, project management.
      • Access to the website needs to happen.
      • Last year communication was a blur.  We did navigate uncertainty and had good game nights though.
      • Programming they would like to see from us: CPR certification, diversity and inclusion, pick up alumni activities, connecting all members, discussion of privilege, anxiety solutions, invite more community to our events, a golfing project.
      • Why aren’t they attending the meetings: distance, life has been a struggle, I forget, it is too cliquey, job, don’t use Facebook, transportation, raising a child.
    • Q2 Renewals
      • Emails were just sent out to everybody, telling them what they owe and asking if they plan on renewing.
  • Community:
    • Adopt a Park – May 2nd, 2pm – Huber Park
      • Be there or be square.
    • Adopt a Highway – May 30th, 10am – Meet at the Holiday Station at Mystic Lake Dr. And Eagle Creek Blvd
      • There will be cleaning, garbage bags, and food.
    • Scott County Historical Society
      • They will be giving a presentation at 7pm before our meeting.
  • Individual Development:
    • May Lab Night: Networking Basics—WHO???
      • G. Labovich will be teaching this.
    • June Lab Night-Need to locate venue. Memorial Park?
      • Automobile basics.
      • Picnic meetings in June and July.  Possibly meet in the park for our May meeting as well.
  • Public Relations:
    • Hockey hoodie logo
      • We’re getting the hockey hoodies.  Name on the right, logo on the back, JCI logo on the back.
      • Don’t order too many of these because not many people want them.
    • Senior grad night
      • We have the email with 3 donation levels.
    • Small swag needed
      • More pens, but need to do inventory first.
  • State Delegate
    • Proposed National Bylaw Change
      • They are bringing in a new membership system.  They can pay their dues in monthly payments… 2 charge processing fees to members with recurring payments; S. Corder is suggesting that we don’t do it.
      • If it passes at JCI MN then JCI MN will have to vote “yes.”
      • Worded to “not to exceed processing fees charged to JCI USA.”
