JCI Shakopee BOD Meeting

Call to Order:7:30pm
  1. Call to Order @ 7:30pm.
  2. Special Guests 
    • Nobody today.
  3. Approval of Previous Minutes 
    • Motion to approve by Duffy, 2nd by Kostelecky.  Motion carries.
  4. Approval of the Consent Agenda
    • Motion to approve by Duffy, 2nd Harris.  Motion carries.
  5. Approval of the Business Agenda 
    • Motion to approve by Duffy, 2nd by Kostelecky.  Motion carries.

  1. General Business and Reports
  • Management:
    • Outstanding Checks
      • Currently have 5 outstanding checks from 2018 & 3 from 2019.  They are past the 180 days.  Technically none of those checks are good, but they can conceivably be cashed.
      • 2018 — Wash the ones from closed chapters & one of the events that got rained out (put stop payments on them)…. still have 2 checks that need to be addressed.
      • 2019 — leave these for next year.
    • Meeting Contingency
      • Corona virus shutting things down.  Looking at the bylaws to see what we need to do for business for the general membership.  Currently… mandatory general membership meetings on the third Thursday of every month.
      • What is the contingency plan?  Do something similar to MN State?  A change needs to be drafted incase of emergencies.
      • Notification must be sent 10 days before the next meeting.
    • Fest Chair Approval
      • Met and interviewed 2 candidates.  Both of them were strong.  Jeneatte Strom for chair for 2020 Renaissance Festival… the stipulation is for Chris Walczak as her co-chair.  The board would like somebody who is an active member and not just alumnis, because the alumni won’t be around forever (plus Chris has issues with his feet and might not be able to be physically present the entire run).
      • Motion to approve Janette to be the chair.  1st by Arnold,  2nd by Boler.  Motion carries.
    • JUNE 20TH!!!!!
      • Everybody needs to put in a time-off request.  2 events that day.
    • It’s Coming — the Q-1 Review
      • This is a quarterly review.  We will be getting a link to a survey to fill out and we will then talk about it at our next board meeting.  This is so we can all get on the same page.
  • Membership:
    • Vroom Vroom Happy Time Social
      • This is happening next Saturday.  Spots are available.  $15 is due at the GM meeting in a week; day of payments can still happen too.
  • Community:
    • Pitch,Hit,Run- may 2nd 
      • Setup 8am.  Need a chair.
    • Shakopee Grad Night 
      • We got answers to our questions, but more needs to be asked.  This will be presented at the GM meeting next week.
    • Teacher awards
      • Adopt-a-teacher/classroom for an excellence reward.  Current  $2.6 million budget shortfall for Shakopee Schools.
    • Saints game info
      • Still need to get more info on what we’re going to do during their event.
    • Esperanza 
      • We got the information we requested.
    • Kids and Kinship Bowl-a-thon
      • Sat. April 18th.  There is a sponsor option.  We will bring it up to the general membership at the GM meeting next week.
  • Individual Development:
    • nothing this month because we don’t have an ID person yet.
    • In the quarterly review there will be things about ID.  We still need to do things in this area even if we don’t have … 
  • Public Relations:
    • Talk about spring/summer swag
      • It’s supposed to be a hot summer.  We can order tank-tops.
    • Swag to give out at events-need ideas
      • Gwen said we’ll be getting socks.  Hippie Feet employs homeless youth (under the age of 25) and makes custom woolen socks. — NOT give-away swag though.
      • Sunglasses, pens, bottle openers, koozies, fans, magnets, H20 bottles, coffee mugs, pencils, bandanas, and rubber bracelets.
    • Feature our members, Why do you Jaycee?
      • She made a form for “why do you jaycee”.
  • State Delegate
    • Team Koala Fundraiser update
      • She talked with Gwen today.  We need to bring our fundraiser proposal to the State BOD before we do anything; therefore, the fundraiser is on hold.
    • Spring Convention
      • 30 people currently registered for Spring Convention.  The rooms are booked.  Lizzy wants there to be catered food.
