JCI Shakopee BOD Meeting

Present:J. Harris, M. Duffy, S. Corder, A. Beecher, D. Kothenbeutel, M. Arnold, A. Weidenhamer, C. Kostelecky, S. Kramer, K. Boler

Call to Order:7:32pm
  1. Call to Order @ 7:32pm.
  2. Special Guests- Carla Kress- Letters to Santa
    • Shakopee Park and Rec thanked us & want to keep their partnership with us.  They also thanked us for the prizes we donated to them.
    • They’re focusing on 2021 since more things have been cancelled for this year.
      1. We will still have Egg Drop [$600 donated this year], Big Taste, Spooky Family Fun [$400 donated this year], & Trunk ‘R Treat.
      2. They want to do more movies at night & continue the concert series.  They will be looking for sponsors for those; we will be getting information on the amounts that they want for each event.
    • A good budget line-item for next year’s donations could be between $2,000 – $2,500.
    • They thanked us for doing the letters for Santa.  They will put our logo on the mailbox.  This will be a continuing event.
      1. The kids can put the letters starting on the Monday after Thanksgiving and can put them in until December 12th.
      2. It will be hard to put a return stamp on the envelope saying it’s from the North Pole.  J. Harris asked if the Postal Service has one of those stamps and if we can get a deal/partner with the Shakopee Postal Service to have them postmarked from the North Pole and mailed our responses to the kids; she said that she’d look into that.

  1. General Business and Reports
  • Management:
    • Important 2021 Dates
      • June 19th is Big Taste of Fun.
      • July 28th-31st is Scott County Fair.
  • Membership:
    • Q4 Renewals
      • They still need to be submitted; it will be taken care of tonight.
    • October “New Member Orientation” brainstorming session summary
      • We learned that if nobody got invited nobody will show up.  There was a whole lot of information on the slideshow.  They want to make a video so the people don’t have to read the information dense slideshow.  Host the video on the YouTube channel, once the channel is rebuilt.
  • Community: 
    • Letters for Santa

    • Confirmed event updates for next year
      • She got 2 emails.  Pitch Hit and Run is back on for next year (no date set yet) & the Egg Hunt is back on as well (March 27th).
    • Ally Event
      • There were lots of ideas.  It’s currently in planning stages… they want to hold a series of conversations so allies can be supported and know how to ask the difficult questions.
      • They are meeting again on December 9th.  They are going to meet to tell who they got to do the conversations.  We might want to put this into our budget for next year, since speakers will want to get paid.
  • Individual Development:

  • Public Relations:
    • waiting to hear back about quotes on hoodies =)
      • Hockey hoodies and zip-up hoodies are being looked at.  They don’t know what the prices are yet.
  • State Delegate
    • We are not going to be sending in registration checks yet for Annual Convention.

9: Presidential Comments

A&I is still up in the air.  We don’t know what the options are yet.  December 11th it goes down to 25 people for a gathering.  Expect something in the next week or two about this.
