JCI Shakopee BOD Meeting

Call to Order:7:33pm
  1. Call to Order @ 7:33pm.
  2. Special Guests – none
  3. Approval of Previous Minutes – 1st by Kostelecky; 2nd by Arnold; Motion carries
  4. Approval of the Consent Agenda – 1st by Kostelecky; 2nd by Kramer; Motion carries.
  5. Approval of the Business Agenda – 1st by Kostelecky; 2nd by Weidenhamer; Motion carries.

  1. General Business and Reports
  • Management:
    • Retreat Update 
      • Nothing updated yet, but we will have the BOD retreat on November 13-15 in Pepin, WI.  Get there when you can on Friday, but not before 3pm.  Don’t run into deer!!
    • End of Year Reminders 
      • Remember that you’ll want to start reflecting on this year… successes & things that we could have done differently.
      • We need to have another membership orientation.
  • Membership:
    • Q4 Renewals
      • This is the last quarter for the year.  Over the 1st three quarters we are down people because of the pandemic and the temporary shut-down of Fest this year.  Only 4-5 people lost were due to them aging out.
      • They will be working on quarter 4, doing it as soon as possible (this month) so we can focus on recruiting and new member orientation.
    • Zoom Game Night Monday 10/19
      • This is the next installment of our Zoom Game Night socials.  Show up.  Have fun!
    • New Member Orientation
      • No date scheduled yet.  They want to do this by the end of the month.
  • Community:
    • Halloween Party Reminder/Manpower 
      • Spooky Family Fun Night event on 10/24 at  3-8pm.  They are looking for 20-25 people per shift, but they only have 5 volunteers so far.
    • Christmas Box Donation Request/Letters to Santa 
      • We will be the only one doing this.  $395 cost of a mailbox for Santa.  We would have to come periodically, get the letters, and write back to them.
      • Motion made by Arnold to make a positive recommendation to the membership; however, nobody seconded it though, so the motion failed.  We will still bring it to the membership next week but not with a recommendation.
    • Hardship Request 
      • They are coming next week and will give us the information then.
    • Broomball Donation Request
      • The Shakopee youth recreation wants to start a group.  They need $386.85 to start this.  Will we get branding?
    • SDA Request
      • They are looking for manpower on 10/15.
  • Individual Development:
    • Nothing for this month
  • Public Relations:
    • Ordered carabinier bottle openers for Halloween event
      • They should be here next week.  Our website is on it.
  • State Delegate
    • United Legacy
      • At the GM meeting last month the membership pushed the decision back to us.
      • They are asking for $5,000 but the costs of the items are different in the 2 different emails they sent us.
      • We are telling them that because we’ve already donated to them this year, and we’re conserving money due to our major Ways and Means projects were a no go this year.  We will also tell them that we need a detailed budget from them, send them instructions on how to create one, and an example of a complete one.
    • National Convention
      • It starts this weekend for executives, but it continues the rest of the week and next weekend for everything else (including voting for new state staff).  Registration is a little over $11.  The chapter will reimburse you.

9: Presidential Comments

    Make sure you pay attention to the calendar and show up to events if you can.  Our community is reaching out to us for a variety of things.  Please prioritize these for the next three months.  You guys have been awesome this year.
