Proxy vote and acceptance and decline of nomination forms are in this mailing will be in the next newsletters and will be posted on the website.  Please make copies of the forms as needed to place your vote or accept a nomination if you are not able to attend the elections meeting.

Proxy Acceptance – If you want to run for a particular office and are not able to attend the elections meeting, you may do so by completing the proxy acceptance form.  You must complete the proxy acceptance form in full with your name, the office you are accepting the nomination for, sign and date the form.  You need to place the form in a sealed envelope and mail it to either of the following addresses – Envelopes MUST be addressed EXACTLY as shown or the proxy will not be accepted.

Proxy Decline – If you have declared for a particular office and no longer want to be considered for that office and are not able to attend the elections meeting, you may decline the nomination by completing the proxy decline form.  You must complete the proxy decline form in full with your name, the office you are declining the nomination for, sign and date the form.  You need to place the form in a sealed envelope and mail it to either of the following addresses – Envelopes MUST be addressed EXACTLY as shown or the proxy will not be accepted.

Proxy Vote – If you want to vote for a particular person for office and are not able to attend the elections meeting, you may do so by completing the proxy vote form.  You must complete the proxy vote form in full with your name, the person you are voting for next to the office you are voting for them to hold, sign and date the form.  You need to place the form in a sealed envelope and mail it to either of the following addresses – Envelopes MUST be addressed EXACTLY as shown or the proxy will not be accepted.

You must address the envelope as shown above as this will indicate that a proxy is in the envelope and whether the proxy is for voting or acceptance of a nomination.  Proxy envelopes will not be opened until the election meeting.  You may place all proxies of one type (either vote or acceptance) in the same envelope.  DO NOT put proxy votes and acceptances in the same envelope.

Proxy votes and nomination acceptances must be received no later than Thursday, September 23, 2021 to be valid.  Please take the US Postal Service time into consideration when mailing your proxy forms.  As it may take several days for the mail to get here from where you are, you should try to mail them no later than Monday, September 20, 2021 as that will give the postal service 4 days to get the proxy delivered.  Of course, if you really want to send a proxy and don’t want to trust the mail service, you can send them via overnight delivery to Linda’s home address listed above (overnights cannot be delivered to PO Boxes).

For those attending the general membership meeting on September 23, 2021 that are not able to stay for elections, proxy vote and acceptance forms will be at the meeting and envelopes will be provided.  You may complete the form in full, seal it in the envelope, indicate the appropriate type of proxy on the envelope and give them back to Linda Bittner.  We will then give all proxies to the elections committee prior to the election portion of the meeting.

If there is an emergency situation and you need to submit a proxy acceptance, decline, or vote that will not be received via mail on time, please contact Linda Bittner via email with the reason you are not able to attend the meeting and a determination will be made whether or not to allow an email proxy. Each situation will be determined individually.
